Scheduling Reports

Using Schedule Report Settings, you can automate generating multiple reports, in various formats, at scheduled times. These reports can be generated in PDF, XLS, XLSX, HTML, Inline HTML, CSV, DOC, DOCX, or XML formats and shared via email or saved to a server.

Schedule Reports

  1. Go to Reports > New Report > Schedule Report.
  2. Fill out the form using the pointers:

Select Schedule Method
From - Set the date and time for the report to be generated.
Repeats - Select the repeat frequency: Once, Daily, Weekly, Monthly, Yearly, Hourly, or Minutes.
Advanced Options - Enable to configure the schedule at specific times of the day, days of the week, dates in each month, or specific months in each year.
Repeat Ends: Specify the end time to stop the report generation. You can stop report generation after a certain number of occurrences or on a specific date. You can also set the report generation to never end.

Report: Select the reports you want to schedule. You can schedule up to five reports. For more than five reports, please contact our support team for assistance.
Format: Select a file format.
Report export method:
Select Save in server to save the scheduled report.
Select Email to share the generated report with technicians via email.
Server Details
Enter the location to save the scheduled report.
Email Details
Enter the To, Cc, and Bcc email addresses to which the generated report must be sent.
Specify the subject and message to be sent along with the generated report.
 
  1. Click Save.
 

Info
  1. If a technician is removed from the application, the ownership of the scheduled reports will be transferred to the technician who has removed the user.
  2. Multiple scheduled reports are generated as one encrypted ZIP file. You can access all reports by entering the password only once. Login users can use their login ID and non-login users can use the common password created by the admin under Privacy Settings.
  3. While generating reports, technicians will be notified via email about the following scenarios:
    1. If no data is available to generate reports.
    2. If a schedule is edited/deleted by a technician.
    3. If a report is not generated due to an internal error.

Schedule Reports Actions

From the Scheduled Reports list view, you can create, enable, disable, filter, suspend, reinstate, edit, or delete scheduled reports. To perform these actions, go to Reports > Showing > Scheduled Reports.
  1. Create: Click the New button to schedule reports.
  2. Enable/Disable: Use the Toggle button beside the schedule to enable or disable it.
  3. Filter: Use the filter drop-down to switch between My Schedules and All Schedules.
  4. Suspend: Click Suspend on the top of the page to temporarily disable all the scheduled reports.
  5. Reinstate: Click Reinstate to revoke the suspended scheduled reports.
  6. Edit: Click  beside the scheduled report to modify its details.
  7. Delete: Click  beside the schedule report to delete it.
  8. Custom Settings: Click Custom Settings to customize the structure of the report.
  9. Search Reports: Click the  icon to search through scheduled reports based on Created by, Mail ID(s), or Schedule Location columns.
