Asset State

Asset state denotes the availability or status of an asset in the organization. Asset managers can use asset state to track and manage the life cycle of assets.

Default Asset States

By default, there are five asset states in AssetExplorer.

Denotes the assets that are currently in use

Denotes assets that are procured but yet to be used

Denotes assets that are damaged and need repair
Requires Scan, Requires Ownership, Mandate Ownership
Expired
Denotes assets that are removed from the active asset list
Requires Ownership
Disposed
Denotes assets that are removed from the active asset list

To Be Returned
Denotes assets that are yet to be returned from deleted users. E.g: when a user leaves the organization.

Use case: This state enables administrators to easily check for assets that are yet to be returned and analyze if they are returned to the store.

 Assets in Expired and Disposed state will not consume any licenses. License status will change from consumed to free once assets are moved to Expired or Disposed.

Assets in To Be Returned state cannot be booked, loaned or auto-assigned.

Asset components in To Be Returned state cannot be associated to users or other assets.

Create Asset State

  1. Go to Admin > Asset Management > Asset State.
  2. Click New.
  3. Provide the following information:
    1. Name: Provide a unique name for asset state.
    2. Requires Ownership: Allow users to associate an asset to a user, department, or another asset when the asset is moved to this state.
    3. Requires Scan: Allow assets in this state to be scanned.
    4. Description: Explain the usage or purpose of asset state.
  4. Click Save or Save and Add New.

Edit or Delete Asset States

  1. Click beside an asset name to edit or delete it.
  2. To bulk-delete, select the asset states and click on the toolbar.

 Default asset states cannot be deleted.  
 The Requires Ownership field is not configurable for default asset states.
