Asset State

Asset state denotes the availability or status of an asset in the organization. Asset managers can use asset state to track and manage the life cycle of assets.


AssetExplorer includes a set of default asset states. You can also create custom asset states as required.

Default Asset States

By default, there are five asset states in AssetExplorer.

Denotes assets that are procured but yet to be used

Denotes assets that are damaged and need repair

Denotes assets that are removed from the active asset list
Requires Ownership
Disposed
Denotes assets that are removed from the active asset list

To Be Returned
Denotes assets that are yet to be returned from deleted users. E.g: when a user leaves the organization.

Use case: Enable administrators to easily check for assets that are yet to be returned and analyze if they are returned to the store.

 Assets in Expired and Disposed state will not consume any licenses. License status will change from consumed to free once assets are moved to Expired or Disposed. 
Assets in To Be Returned state cannot be booked, loaned or auto-assigned. 
Asset components in To Be Returned state cannot be associated to users or other assets.

Create Asset State

  1. Go to Admin > Customization > Asset Management > Asset State, and click New.
  2. Enter a name for the asset state.
  3. Enable Requires Ownership to allow selecting an owner for assets in this state.
  4. To make ownership mandatory for assets in this state, enable Mandate Ownership.
  5. To enable or disable scanning for assets in this state, enable the Requires Scan option.
  6. Enter any relevant details in the Description field.
  7. Click Save to create the asset state, or Save and Add New to save and open a new form to create another asset state.
 


Edit or Delete Asset States

To edit or delete asset states, click  against an asset state in the list view and select the respective option.
You can also bulk delete asset states by selecting them using the checkboxes and clicking on the toolbar.

Default asset states cannot be deleted and the names of the default states cannot be modified.
